A practical way to organize delivered credentials
Treat the original delivery as a starting record, not your long-term source of truth. Once your team changes passwords, recovery emails or 2FA, the original file is no longer complete.
Separate original data from your changes
Keep one read-only copy of the delivered fields and a second operational record for the changes your team makes. That makes it easier to trace what was delivered and what changed later.
Use ownership fields
For team workflows, add a simple owner or status column. Record who is responsible for the account, whether setup is complete, and when recovery details were changed. This prevents duplicate work and unclear ownership.
Store credentials securely
Do not rely on chat history or email as your only credential store. Use a secure system appropriate for your organization and limit access to the people who actually need it.
